How to cancel PhoneBurner and keep your contacts, notes and numbers

Nobody writes the leaving guide except the vendor, and the vendor writes it as a support article about exports, not as a plan. This is the plan: what to pull out, in what order, what will not come with you, what to do about the number, and when to actually press cancel so an annual term does not bill again while you are halfway through.

The short answer

Export contacts (Contacts → select all → Actions → Export) and dial sessions to CSV, download the recordings you need, sort out the caller-ID number, then cancel in writing. Contacts, tags and notes come across; recordings, session history and SMS do not. Check the annual renewal date first.

In order

  1. Find the renewal date. Annual plans ($140, $165, $183 per user per month) are paid for the term; monthly plans end at the next billing date. Everything below should be done before that date, not after.
  2. Export contacts. Contacts → tick the top checkbox in each folder to select all → Actions → Export → Selected Contacts. The export library builds a CSV; large lists take a while and you can leave the page. One file per folder if you use folders.
  3. Export dial sessions. The same export tool offers session history separately. It is your record of who was called when and with what outcome; it will not become call logs in another dialer, but you will want it the first time a prospect says “you already called me”.
  4. Download recordings you need. Recordings do not travel in the CSV. Pull the ones tied to open deals, disputes or training.
  5. Decide about the number. If your caller ID was your own line, skip this. If PhoneBurner provided it, ask support about porting it out before you cancel; the reputation you built on it and every callback are attached to it.
  6. Import into the new dialer (below), check the counts match, dial ten test numbers.
  7. Cancel in writing through your admin or support and keep the confirmation.

Importing the CSV into DialSheet

Leads → Import → drop the file. The importer maps first name, last name, phone, email, company and custom columns, normalises every phone number to E.164 (including the “.0” and scientific-notation forms a spreadsheet leaves behind), dedupes on the clean number, and lists the rows it could not parse rather than dropping them. Add a column for the last PhoneBurner outcome before you import and it becomes a filter on day one. Assign each rep their slice, pin a number, and the first session looks like the last one did.

The bill you are replacing

Three reps on PhoneBurner Professional: $495 a month, with unlimited US calling bundled. How do I export my contacts from PhoneBurner?

Per PhoneBurner's help centre: open Contacts, tick the contacts you want (or the checkbox at the top of a folder to select all of them), click Actions, then Export, then Selected Contacts. The export library builds the file and offers a CSV download when it is ready; large exports take a while and you can navigate away while they build. Repeat per folder if your contacts are split across folders. Dial-session history exports through the same tool as a separate file.

Can I cancel PhoneBurner at any time?

PhoneBurner sells annual plans at $140, $165 and $183 per user per month and monthly plans at $165, $195 and $215. A monthly plan ends at the next billing date; an annual plan is paid for the term, so check the renewal date before you export. Cancellation is handled through your account administrator or PhoneBurner support rather than a self-serve button on the pricing page; do it in writing and keep the confirmation.

What do I lose when I leave PhoneBurner?

Contacts, tags, custom fields and notes come across in the CSV. Call recordings, dial-session history and SMS threads live in PhoneBurner and do not import into another dialer; download the recordings you need individually and keep the session export as a record. If you used a PhoneBurner-provided number as your caller ID, its reputation and any callbacks are tied to that number, which is the strongest reason to port it out rather than abandon it.

What happens to my phone number when I cancel PhoneBurner?

If your caller ID was your own business or cell number, nothing changes; it was never PhoneBurner's. If PhoneBurner provided the number, ask support about porting it to your next carrier before cancelling; a number that is released goes back to the pool and prospects who call it back reach a stranger. On Twilio the port is a Console request with a letter of authorisation; approval is typically about 24 hours, then a port date is set.

What does the replacement cost?

A free dialer on your own Twilio: $0 for one person up to 500 calls a month, $29 per 3-seat pack on Pro, plus Twilio at about ~$0.014/min for the carrier leg, $0.004 a minute for the browser leg and ~$1.15/month per number. Three reps run about $59–152 a month all-in against $495 on PhoneBurner Professional. The trade is metered minutes instead of unlimited, which favours you at cold-calling volumes and favours PhoneBurner at several thousand talk minutes a seat.
